1. Basic Accounting Principles & Bookkeeping
Bookkeeping is the ongoing recording of every financial transaction β the foundation every other financial task builds on. Without accurate records, budgets, reports, and tax filings are all guesswork.
- Income vs expenses: Every transaction is either money coming in (income/revenue) or money going out (expenses).
- Assets vs liabilities: Assets are what a business owns (cash, equipment, stock); liabilities are what it owes (loans, unpaid bills).
- Recording every transaction: Date, description, amount, and category β recorded as it happens, not reconstructed from memory later.
- Separate business and personal money: Mixing personal and business finances is one of the most common causes of confused, unreliable records.
Practical Skill: Set up a simple daily bookkeeping log and record 10 realistic sample transactions for a small business, correctly categorizing each as income or expense.
Try it Yourself — Simple Bookkeeping Log
=== DAILY BOOKKEEPING LOG ===
Date Description Type Amount (SSP)
2026-03-01 Sold 5 shirts Income 15,000
2026-03-01 Bought fabric Expense 6,000
2026-03-02 Transport to market Expense 1,500
2026-03-02 Sold 2 dresses Income 12,000
Rules to follow:
[ ] Record every transaction the same day it happens
[ ] Never mix personal spending into the business log
[ ] Keep the physical receipt or a photo of it where possible
[ ] Total income and expenses weekly to track your position
2. Payroll Management & Budget Preparation
Once a business or organization has employees, paying them accurately and on time β and planning spending in advance β becomes essential to staying trustworthy and financially stable.
- Payroll basics: Gross pay (before deductions), deductions (if applicable), and net pay (what the employee actually receives) β recorded consistently every pay period.
- Payroll records: Keep a record for every employee, every period β needed for disputes, planning, and any future compliance requirements.
- Budget preparation: Estimate expected income and planned expenses for an upcoming period (month/quarter) before it starts, not after.
- Comparing budget to actual: Review regularly β consistent overspending in one category signals a planning or control problem to address.
Practical Skill: Build a simple payroll sheet for 3 sample employees and a monthly budget for a small organization with realistic income and expense categories.
Try it Yourself — Payroll Sheet & Monthly Budget
=== SIMPLE PAYROLL SHEET (Monthly) ===
Employee Role Gross Pay Deductions Net Pay
Akech M. Manager 120,000 5,000 115,000
Deng P. Assistant 80,000 2,000 78,000
=== MONTHLY BUDGET TEMPLATE ===
Category Planned (SSP) Actual (SSP)
Income 500,000
Salaries 160,000
Rent 50,000
Supplies 40,000
Transport 20,000
TOTAL EXPENSES 270,000
NET (Income - Expenses) 230,000 (planned)
3. Financial Reporting & Cash Flow Management
A profitable business can still fail if it runs out of cash at the wrong moment. Understanding cash flow β separately from overall profitability β is critical for survival.
- Income statement: Shows total income minus total expenses over a period β whether the business is profitable.
- Cash flow: Tracks when money actually enters and leaves β a business can be "profitable on paper" but short on cash if customers pay late.
- Common cash flow problems: Slow-paying customers, seasonal sales dips, or over-ordering stock before it sells.
- Simple forecasting: Estimate upcoming cash in and out for the next 4-8 weeks to spot shortfalls before they happen.
Practical Skill: Build a simple monthly income statement and a 4-week cash flow forecast for a small business, identifying any week where cash might run short.
Try it Yourself — Income Statement & Cash Flow Forecast
=== SIMPLE INCOME STATEMENT (Monthly) ===
Total Income: 500,000 SSP
Total Expenses: 270,000 SSP
NET PROFIT: 230,000 SSP
=== 4-WEEK CASH FLOW FORECAST ===
Week Cash In Cash Out Net Running Balance
1 120,000 100,000 +20,000 120,000
2 80,000 110,000 -30,000 90,000
3 150,000 90,000 +60,000 150,000
4 100,000 130,000 -30,000 120,000
Watch closely: Week 2 and Week 4 show negative net cash β
plan ahead to have enough balance to cover them.
4. Tracking Business Expenses
Untracked small expenses quietly add up and erode profitability. Disciplined expense tracking reveals exactly where money goes and where to cut costs.
- Categorize consistently: Use the same expense categories every month (e.g. transport, supplies, rent, utilities) so comparisons are meaningful over time.
- Keep every receipt: Physical or photographed β needed to verify expenses and resolve any disputes.
- Review regularly: A monthly review of expense categories often reveals surprising costs (e.g. unnecessary subscriptions, high transport costs) worth addressing.
- Distinguish fixed vs variable expenses: Fixed costs (rent) stay constant; variable costs (materials) scale with business activity β useful for planning.
Practical Skill: Categorize a month's worth of sample expenses and identify the top 2 categories where costs could realistically be reduced.
Try it Yourself — Expense Categorization
=== MONTHLY EXPENSE BREAKDOWN ===
Category Amount (SSP) % of Total Fixed/Variable
Rent 50,000 18% Fixed
Transport 45,000 17% Variable
Supplies 80,000 30% Variable
Salaries 160,000 59% Fixed
Airtime/Data 15,000 6% Variable
Note: percentages here are illustrative β always calculate
against YOUR actual total expenses.

2. _____________________________________________________
5. Using QuickBooks, Excel & Wave Accounting
Digital accounting tools reduce manual errors and save time compared to purely paper-based bookkeeping, and several good options are free or low-cost.
- Microsoft Excel: Flexible and widely available β suitable for building custom bookkeeping logs, budgets, and simple financial reports.
- Wave Accounting: Free accounting software designed for small businesses, covering invoicing, expense tracking, and basic reports.
- QuickBooks: A more advanced, widely used paid accounting platform suited to growing businesses and organizations with more complex needs.
- Start with the simplest tool that meets today's needs (often Excel or Wave) and move to more advanced tools only as complexity genuinely requires it.
Practical Skill: Set up a basic chart of accounts in Excel (or Wave, if accessible) and record a week of sample transactions using it.
